PURPOSE
The primary role of the Executive Assistant is to provide administrative support to the President/Chief Executive Officer.
FUNCTIONS
Daily functions include, but are not limited to:
1. Provide administrative support to the President/Chief Executive Officer by completing the following:
Screening and handling all incoming telephone calls including sensitive telephone calls
Maintain daily calendar including: organizing and scheduling meetings and conference calls
Prepare letters, memos and correspondence
Schedule and coordinate business travel
Prepare expense reports and process them according to HFA's travel and expense guidelines
2. Act as a liaison between employees and the President/Chief Executive Officer, including 5 direct reports and the Board of Directors
3. Manage confidential information with utmost discretion
4. Maintain and update hard copy and electronic files and retrieve information from files as needed and as required by policy
5. Support cross-departmental research and data entry initiatives
6. Prepare and proof read outgoing correspondence
8. Respond to regularly occurring request for information
9. Other projects as assigned by management
REQUIRED KNOWLEDGE/SKILLS:
1. College Degree or previous related experience as an Executive Assistant /Music Industry professional preferred
2. Proficient in MS Office, primarily in MS Word, MS Excel, MS Outlook and MS Power Point
3. Ability to handle confidential and sensitive information
4. Ability to multitask and handle multiple projects simultaneously
5. Excellent telephone manner
6. Excellent written and verbal communication skills
7. Ability to interact with peers, all levels of management, customers and vendors
8. Strong organizational skills
9. Punctuality and the ability to work a flexible work schedule
10. Strong attention to detail; meticulous follow-up skills
11. Ability to work well under pressure
12. Ability to maintain a positive work environment and communicate in a professional manner with clients, colleagues and managers
13. Prepared to work overtime, when required
14. Must be able to work independently and be a self starter
